Guidelines for Submission and Schedule

Schedules
- Submission of the Research Paper Competition(C1): You can sign up for an account and start an application, or simply email the research paper with your information to us.
- Poster/PowerPoint Presentation Competition(C2) will take place in April and October. The PPC session is for the studtents who are participating in the fairs for presentation and C1(Research Paper Competition) is for the students who submit their research papers online year-round to win the awards.
- Judge registrations have been moved to the footer section and you will need to re-register for the upcoming events.

The 2023 event will be held virtually.
To that end, for the C2, we will ask you to record your presentation, upload the mp4 file onto your personal YouTube channel, and send the URL to us.
- Poster presenters are expected to monitor their recording and respond to questions/comments on their YouTube feed by emails
- A few selected oral PPT presentations can be held live in Zoom breakout rooms. Recordings only will be used in the event of technology disruption or with permission from the presenter.
- Your project will be available for review by judges throughout the judging period.
- All the submissions will go through rigorous triple blind peer review.
- When your manuscript is accepted for next review, we may request you additional information.
- Please upload the materials online: go to the menu bar on top and select “Submission Portal” to upload the project material with the application form.

- Your project will be available for review by judges throughout the judging period.
- All the submissions will go through a rigorous triple-blind peer review.
- Submission deadline is at 11:59 EST on the day posted.
- STEM project requires at least one image(any image representing the research or an image obtained from the research) for all submissions. Omission of an image may affect the consideration for acceptance to the first round review.
- Multiple Submissions:
Submission of a project that describes the same work to more than one volume is not allowed. That means you can submit C1 and C2 at the same time but not with the same project. - Award Announcement: Generally 1~2 weeks after the submission due date (final results will be posted on the website)
- When your manuscript is accepted for next round review, judges may request more information if it is needed.
- Your paper for submission(s) for C1 or C2 will be one (or both) of the following:
- A work in progress (preliminary or initial stage of research/investigation) paper
- A full paper - C1/C2 - Project paper cannot exceed 15 pages(double column). (If it exceeds, please describe the reason via email.).
2023 KSEF event will be held virtually.
To that end, for the PPC, we ask you to record your presentation, upload the mp4 file onto your personal YouTube channel, and send the URL to us. - Team projects must check Team Project box in the application form and list all the coauthors’ information in the Author section of the Abstract including each author’s complete name, school, and email. Corresponding author should be noted.
- If you have problems uploading documents online, please send your research project documents(doc or docx file) or images/photos to admin@KSEF.org directly with the application form.
- There are no strict formatting requirements for PPT presentation file: the PPT slides will have to contain the essential elements needed to describe your research content.
- Arrive, sign in and set up from 8:50 to 9:20 pre-inspection of projects by SRC: 9:00-9:40.
- Interviews/presentations(15 min -20min./student), followed by lunch, the speaker, and awards.
- Concluding remarks and clean-up by 2:30.
- In addition to the above, there is a strong likelihood that people will have FUN.
- But please note that parents/guardians are not allowed come during the judging process.
- In special cercumatances, professionals and college students may display their presentation on a large monitor instead of being printed out for this poster session.
- Further details about file sizes, format, etc. will be emailed out to all individuals who register to present.

Instructions to record your presentation(2020)
Instructions to students for creating videos, Powerpoing slide, Word file and notebook materials:
Because the on-site fair has been cancelled, you will need to do your presentation as a video, and create pictures of your other materials, like your poster and notebook. Instructions for doing all of that are contained in the 3 steps below. Please carefully read and follow the instructions and guidance.
Step 1: Guidance on Creating Videos:
You may record your video using any method you like (iPhone, digital video recorder, etc.). Your video presentation should be as if you were doing the presentation in person. The total time of your video should be somewhere between 7 – 10 minutes; not to exceed 10 minutes. Please follow the instructions below on the required content.
As you proceed with planning and making your video, keep in mind that you will be describing actual research and not just an experiment. A specific experiment is designed to be done by anyone, and always in the same way. Your project is more personal, based on your own thoughts, ideas, and discoveries as you went along. It probably varied from the original path you envisioned. That is OK, and it is worth remembering.
Before you start doing your video, please review each of the following steps below. All the information is needed, but the steps don’t have to be done in the exact order suggested. It is possible to be describing one step and realize that part of the information for that step ties very strongly with the information for a different step. Those variations are what might make your presentation even more personal. Just try to make sure you haven’t left out any important information. Judges will be looking for your video to include the information in these steps.
TIP: Outline your presentation first, indicating what specific items you want to include and in what order, and what portions each partner will talk to for team projects, and then start recording.
A. State the title and purpose of the project. Do NOT state your name(s).
B. Tell where the idea for the project came from.
C. Explain how the idea developed into an investigation/experiment/prototype.
D. Describe the procedure that was followed.
E. Explain how the data was collected, and whether it was recorded in a notebook.
F. Give a review of data, tables, and graphs in a way that provides evidence for the conclusion(s). One possibility is showing data or table or graph during the video and giving an explanation at the same time.
G. State your conclusion by accurately interpreting the evidence shown by the information in Part F.
H. What was learned from doing the project?
I. If done again, would anything be done differently?
Please time your video to ensure it is between 7 – 10 minutes, and doesn’t exceed 10 minutes. Do it more than once if needed. When finished, watch it carefully to make sure that all items have been included and done to your satisfaction. Check to make sure that what you wanted to present and show is clearly visible in the video. Check the audio to ensure the judges will be able to hear you clearly when they review your video. Feel free to have others watch it as well to make sure.
Step 2: Guidance on Posters and Notebooks
To ensure that the judges can view your poster in detail, you will need to take at least one picture of it. Please lay the poster flat before taking the picture and review to ensure it is clear. If you have small types, graphs or pictures, you may take additional close-up pictures of those portions of the poster to ensure all material is readable by the judges. If your poster is available as a PDF, you may use that instead of a picture.
For your notebooks, please take at least 2 pictures (no more than 5 pictures please) of portions of your notebooks where information may be useful to the judges to see. As a minimum, you may take a picture of the first page of notes and a picture of the last page of notes. Please do NOT take a picture of every page.
Step 3: Post your Video, Powerpoint slides, Word file and Pictures (You can also email or share the files via Google drive)
When you are completely done and satisfied with your video, find your project ID from the paperwork. It might be, for example, “AP-ADF”. Please name the file with your Project ID plus the word, “video”. Example: AP-ADF-video. Go to https://yegi.org/ksef/login.php and upload the video after you login. Your video will be viewable by the judges as an unpublished YouTube video and deleted after judging is complete.
Next, upload the photo or PDF of your poster to the same site, naming the file(s) by your Project ID and the word, “picture”. If you have multiple pictures of your poster, please add a sequential number to the filename for each picture. Example: AP-ADF-picture, AP-ADF-picture1, AP-ADF-picture2, etc.
Last, upload the pictures of your notebook to the same site, naming the file(s) by your Project ID and the word, “notebook”. Since you will have multiple pictures of your notebook, please add a sequential number to the filename for each picture. Example: AP-ADF-notebook1, AP-ADF-notebook2, etc.
COVID-19 and 2023 Schedule
We have been looking forward to the 2023 KUSEF in October again. As the symptoms surge again, we are closely monitoring both the impacts of COVID-19 pandemic on in-person events and governmental actions and health authority directives to help keep students and visitors safe. Safety is a core value of the KUSEF and it will continue to be its ultimate guide for actions affecting students, meeting attendees, and other stakeholders.
We are exploring various scenarios to allow for a safe and meaningful exchange of scientific research and information, as well as competition itself. Those scenarios range from an in-person event to a mix of in-person and virtual activities to an all virtual event. Regardless of the ultimate format of this event, we encourage you to continue to plan for the 2021 KUSEF. We will share updates as they become available.
